What REACH CRM is

REACH CRM is a relationship platform for talent management teams. It builds a picture of who your team knows and works with from the data sources you connect: email, calendars, spreadsheets, and files you upload.

Data we process

Account details you provide; content from sources you explicitly connect (email messages and metadata, calendar events, contacts, spreadsheet contents, file names in connected drives); the profile photos people chose to show on their own Google, Microsoft or Gravatar profiles, matched by email to people already in your workspace and kept on our servers; the logos companies publish on their own websites and in their email records; and records your team creates in the product. Workspaces are isolated: your data is visible only to members of your workspace, and to a parent workspace where a linked-workspace relationship has been explicitly created. Within a workspace, each person’s email is visible only to them and to the teammates a thread is shared with, assigned to or copied on, workspace owners and administrators included.

How we use it

To run the product: building contact and company records, threading conversations, scoring relationships, detecting business opportunities, and generating summaries and classifications with AI assistance. We use service providers (subprocessors) to do this, including cloud hosting and AI model providers.

Google user data · Limited Use

REACH CRM’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In plain terms: data obtained through Google APIs (such as Gmail content) is used only to provide and improve the product’s user-facing features, is never sold, is never used for advertising, and is never used to train generalized AI models. When AI features process Google-derived content, they do so on our own servers or through model providers under terms that prohibit training on that content.

AI processing

AI features are a core part of the product. Every one of them, drafting, classification, summarization, search and the assistant, runs on open-source AI models that we operate ourselves, on our own servers and on servers we rent for that purpose. Content from connected email or other Google APIs is not sent to any outside AI provider, and it is not used to train any model.

Your writing

To write drafts the way you write, the product measures a few choices from your own sent email by code, without any AI model: how you open, how you ask about a budget, timing and deliverables, whether you use exclamation marks and whether you end with a thanks line. Only those choices and how many emails they came from are kept, never any text, and only you and your own drafts use them. You can see them in Settings, Email, and turn this off there: your sent email is then no longer read for it, and what was kept is cleared.

Retention and deletion

Data stays for as long as your workspace exists or until your workspace administrators delete it. Disconnecting a source stops new syncing; workspace administrators can delete synced records. Contact us to request full deletion.
